NSW Department of Communities and Justice / Request for Information for Recording, Monitoring and Transcription Solutions for Courts and Tribunals - DJ 2016 - 62

The Department of Justice is seeking market insights into solutions available as an alternative to the current reporting, monitoring and transcription service delivery model for NSW Courts and Tribunals. Respondents are requested to review the current methods of delivering reporting, monitoring and transcription services and to propose new and improved methods of achieving the deliverables currently provided by a blend of in-house and contracted services. Suppliers are encouraged to propose solutions that will provide the Department with benefits in addressing the following key issues: 

• Natural workforce attrition of internal resources is impacting supply of recording and transcription services.

• Workflow management and unmet demand – there is a persistent high volume of back transcript demand that is not being met as well as a rise in unmet daily transcript requests in the District Court.

• Ordering process – the ordering process is not client-focused and lacks visibility.

• Timeliness - Timely delivery of transcripts is a critical issue that impacts on court proceedings and requires significant improvement.

• Service levels offered by the Department are in need of review with some service demand not being met and in some instances, over servicing may be occurring. 

The Department is receptive of innovative solutions that propose solutions for one or more of the 3 components of this RFI being: operational services (recording, transcription and quality assurance);, technology (all associated technologies); and support services (case file data transfer, workflow management and ordering & provisioning).

Tenderers will normally be required to demonstrate in their tender that they have the necessary skills, resources, experience, financial capacity, and in some cases licences, accreditations, etc., to fulfil the tender requirements.

Respondents are advised that:

• Responses must be entered within the Microsoft Excel Response Document named “RFI Part C-Response Document”.

• Confirmation of attendance at the RFI Briefing is required by 15 July 2016.

• It is highly recommended that Respondents attend the RFI Briefing on 19 July 2016.

• The deadline for submitting queries related to the RFI is COB on 4 August 2016.

The RFI closing time and date is 11am on 9 August 2016.
