Tender Details

The Powerhouse is a multi-platform and multi-precinct institution managing assets, venues, locations, and resources across four physical locations. Through the deployment of an enterprise-wide venue management application, the Powerhouse seeks to maximise resource efficiency, venue utilisation and commercial yield. This procurement is for a venue management solution integrated in the enterprise architecture and infrastructure to enable smart precincts.

The Powerhouse is one of Australia’s oldest and most important cultural institutions. It is Australia’s only museum of applied arts and sciences with an exceptional collection of 500,000 objects. In 2022, the institution is undertaking significant renewal with the establishment of Powerhouse Parramatta, the renewal of Powerhouse Ultimo, the expansion of Powerhouse Castle Hill, the digitisation of the Collection and the ongoing operation of Sydney Observatory.

This procurement aims to ensure the selected venue management platform will deliver the scope of requirements to deliver the organisational renewal. The procurement will deliver a platform that will reside at the top of the enterprise solution ecosystem and define key integrations with other systems, including (but not limited to) Building Management Systems, CRM, e-commerce, and ticketing platforms.

The Powerhouse will undertake a two-stage process to identify the venue management solution. Stage One – Expression of Interest (EOI) is open to submissions from venue management solutions that meet the Venue Management Solution Requirements. Interested parties are required to submit a response to the information requested in the Project Brief. Full proposals are not required as part of Stage One submissions.

Based on responses received and the outcome of the EOI evaluation process, the Powerhouse will proceed to a selective Request for Tender (RFT) for the full scope of works. Stage Two – Request for Tender Shortlisted applicants will be required to respond to a Stage Two Brief including attending a briefing with the Powerhouse team and will be required to present their Stage Two submission. Following evaluation, a venue management solution and collaborator will be selected, and contract awarded. The successful tenderer/s will be required to apply for and be accepted for inclusion as an advanced supplier on the mandatory whole of government ICT Services Scheme SCM0020 in the relevant category/categories if they are not already advanced suppliers with the scheme (https://info.buy.nsw.gov.au/schemes/ict-services-scheme).
