Tender Details

Trial Bay Gaol is part of a State Heritage Register listed site: Trial Bay and Environs located approximately 38 km north east of Kempsey on the mid north coast of NSW.  The site and the Museum collection is of local, regional, state, and international significance.  The Gaol and surrounding campground are popular tourist destinations with an estimated 600,000 visitors per year. The Gaol is visited by over 40,000 visitors each year and provides a venue for functions, artistic performances and exhibitions as well as hosting guided and self guided tours.

Trial Bay Gaol air conditioning system requires replacement as the existing system was failing to provide an acceptable service level and now has failed completely.   The Gaol houses a museum, Moveable Heritage Store, gift shop, office and amenity areas. The replacement system must have the capacity to maintain a suitable environment for the museum collection, staff and visitors. It must be energy efficient, quiet, reliable, easy to operate and maintain. (refer Attachment 1 technical specification)

Replacement of the system will require minor building alterations and associated works noting the following requirements:

• Close off public areas to protect public with notices and barriers

• Notices to be put up with dates and areas to be closed off

• Meet regularly to keep delegated staff up to date on changes to schedule

• No impact on heritage items (eg water, dust etc)

• All work areas to be identified  with staff to allow client’s staff to move items or supervise removal of items

• All items to be moved before work begins

• All areas to be vacuumed after work

• Immediate notification of any breach of conditions by contractor, accidentally or by the public

MOVEABLE HERITAGE STORE AND RESEARCH ROOM: the above requirements apply and also:

• Seal off both rooms with heavy duty plastic sheeting

• Carefully collect any water in defunct air condition system

• No access without supervision of Museum staff: available on Mondays and Tuesdays excluding the following dates: to be confirmed closer to the time.

Names of persons attending the pre-tender meeting must be provided to the contact officer at least three working days prior to the date. No more than 2 persons from each Tenderer will be permitted to attend the briefing.

The Contact Person will be available at that time to answer any tenderer’s queries regarding the RFT.
