Tender Details
The Principal is seeking the Services of a Contractor to provide best practice property management services to manage a property portfolio of approximately 2054 Occupancy Agreements covering a variety of council, community, residential, industrial, commercial, retail and other associated occupations.
The property portfolio is generally located on railway land i.e. Stations, railway yards and along or near the rail corridor allocated against metropolitan and outer regions that include:
- Region 10 (Illawarra South)
- Region 11 (North West)
- Region 12 (City)
The Contractor is required to provide the required Services and meet obligations subject to the Principals specific Property Management Services Agreement. Specific service level requirements include:
- Portfolio management
o Annual Plan (market overview; budget; maintenance)
o Monthly reports
o Monthly contract performance and review meetings
- Property accounting
o Occupancy matters (invoicing, receipting, arrears management, purchase orders, banking)
- Physical property administration
o Engaging contractors for planned and unplanned repairs and maintenance
o Oversight of fit outs
o Property inspections
- Occupancy administration
o Leasing, assignments, surrenders
o Manage occupants’ enquiries/complaints/disputes
- Project management tasks
o Property Projects
o Strategic Leasing
The contractor is subject to a performance management regime that incorporates
Service Performance Indicators (SPI) to which positive and/ or negative financial attractions are attached for outperforming or underperforming agreed performance benchmarks. The SPIs reflect seven important property management activities as follows:
- Aged debtors
- Occupancy fee review
- Monthly reports
- Inspections
- Budget income vs. actual income
- Occupant satisfaction survey; and
- Vacancy reduction.
