Sydney Trains is utilising its' current records management platform, HP Records Manager (RM8), to facilitate moving to a managed digital environment. To this end, RM8 was recently upgraded from TRIM7.2. To enhance RM8 further, additional configuration is being undertaken and Sydney Trains wants to utilise a simpler interface to enhance adoptability and uptake. The next stage in driving the usage of RM8 is to ensure it is user friendly and that all Sydney Trains' unstructured content (its records) is centralised and managed inRM8.

Sydney Trains seeks proposals from suppliers appointed to the advanced supplier list of the ICT services scheme (category M03 Services including Electronic Document & Records Management and Customer Relationship Management (CRM) & Case Management Services including delivery "as a service” or M05 Information Management Services including delivery "as a service" or M06 Web Design & Content Management Services including delivery "as a service") to submit proposals to:

 • understand legacy / current records management platforms where information is currently held

• analyse the content in to undertake rationalisation such as disposal, archive, migration activity

• put in place legacy management protocols for the remaining content not disposed of, archived or migrated, and to manage this via RM8.

The Mandatory requirements for this supply are:

1. Mandatory Business Requirements:

• The ability to integrate into existing Sydney Trains records management system (RM8)

• The ability to transfer records between share drives / share point and RM8 (existing and future)

2. Mandatory Functional Requirements:

• The ability for analysis of document repositories

• The ability to generate reports on items marked for deletion.

• The ability to have an automate Policy-Driven Classification

• The ability to manage in place existing records in Share Drives and SharePoint locations.

• The ability to analyse data from a range of sources. For instance ShareDrive, SharePoint, Microsoft Exchange, and RM8.
